Your store, in true numbers

Margins below use what you actually paid — from your vendor invoices — not the cost that happens to be typed into the POS.

📥 Automatic Invoice Inbox

Your vendors email invoices to your private address; we read them. Zero uploads, zero typing.

Best option: connect your POS directly

Connect once and your numbers flow in every night — no uploads, no photos, no homework, ever. Every connection is read-only: we see items, prices, and sales. We can never change a price, touch your register, or see card payments. Pick your system:

Your POS password never comes to us — sign-in happens on your POS provider's own screen. You can disconnect in one tap, any time. Demo build: connection is simulated.

    Or upload manually

Three things, that's the whole job. Tap a box (or drag a file in). CSV files are read on the spot so you can see exactly what we see; in your live account, Excel files and invoice photos are processed the same way.

    🧾

    1 · Inventory export

Your POS item list — Excel or CSV. Builds your catalog: names, SKUs, categories, prices.

    📈

    2 · Item sales report

Last 30+ days, item-level, exported as-is — CSV reads instantly here; Excel/PDF work in your live account.

    📸

3 · Vendor invoices — photos or PDF

Snap every page of a delivery invoice, totals page included. In your live account our reader turns each photo into line items and true costs in seconds.

    Your inbox

Everything you've sent, and what happened to it.

Nothing uploaded yet in this demo session. Try it — drop your own CSV export in box 1 or 2 and watch it get read.

    The Margin Map

Every item, plotted by what it earns and how fast it moves. Click a column to sort. Stars earn and move. Traffic drivers move but earn thin. Hidden gems earn well and nobody buys them — yet. Dead weight is shelf rent.

True cost = latest vendor invoice where one exists, otherwise the POS-entered cost (marked ◦). When the two disagree, that's a finding — see Suggestions.

Suggestions — what to do with the numbers

Every suggestion shows the action, the projected result, and the basis. Nothing here changes a price or an order by itself — you approve, it happens.

    Your day has a shape

Peak hours are for margin — full prices, fast lines, never out of stock. Slow hours are for invitations — timed deals that fill empty hours without training peak customers to wait for discounts. This view runs on hourly sales data — one more thing a direct POS connection unlocks.

    Bundles built from your numbers

Pairs your data says belong together — priced to move, margined to matter.

    Loyalty that pays for itself

Program suggestions built on your repeat items and your margin structure — costs shown before benefits, assumptions stated.

    Dead money on your shelves

Stock you paid for that hasn't sold in 30 days. This is cash sitting still.

How it works — your three uploads

That's the whole job. Everything else happens on our side. All three go through the Upload Data tab at the top.

1 · Send your inventory list (once)

    1. Open your POS back office and go to Inventory (or Items).
    2. Look for Export and choose Excel or CSV.
    3. Send us the file as-is — don't tidy it up first. The mess is useful.

This builds your catalog: item names, categories, shelf prices, and the costs currently in your system.

2 · Send an item sales report (weekly, or whenever)

    1. Go to Reports → Item Sales and pick the last 30 days (or since your last upload).
    2. Make sure it's item-level — what sold, how many, at what price — not just daily totals.
    3. Export it exactly as it comes out and send it.

This is the movement data: what actually sells, and how fast.

3 · Photograph each delivery invoice (at the dock)

    1. Lay the invoice flat, in decent light. Fill the frame with the page — no table edges.
    2. Photograph every page, including the totals page. One invoice per set of photos.
    3. Send them. Crumpled is fine — if a line can't be read, we'll ask about that line only.

Invoices are the truth about what you paid. They quietly correct the costs in your POS — and when the two disagree, that gap is usually money.

    Your weekly 2 minutes

Once a week you get a short digest: your #1 leak, your #1 opportunity, and any needle-mover alerts. Occasionally there are a few one-tap confirms (“is this invoice line your Coca-Cola 12oz?”) — answer them in the app and the system never asks twice. That's the entire routine.

    Frequently asked questions

What exactly is My Silent Partner?

It's a partner that watches your numbers so you don't have to. It combines what you sell (your POS reports) with what you actually pay (your vendor invoices) to show your true profit margin on every item — then turns those numbers into specific, dollar-denominated suggestions: prices to test, dead stock to move, bundles to build, stockouts to prevent. It runs quietly in the background and only speaks up when something is worth money.

Where do these numbers come from?

From three things you already have: your POS inventory export (your catalog), your item sales reports (what moves), and photos of your vendor invoices (what you truly paid). No new hardware, no counting stock by hand.

My POS already shows item costs. Why do yours differ?

Because the cost typed into a POS is usually entered once, at setup — and vendor prices move. When your latest invoice disagrees with the cost in your system, we use the invoice and flag the gap. In our experience that gap is one of the most common silent margin leaks in a store.

Who can see my store's numbers?

You. Your data is walled off at the database level — your account can only ever return your rows, and that includes the built-in AI assistant. Benchmarks, when they appear, are anonymized averages of five or more similar stores; no store ever sees another store's figures, and your prices are never shared.

Will it ever change my prices or orders by itself?

Never. Everything is a suggestion with the projected result shown up front. You approve it, or you ignore it — ignoring suggestions even teaches the system which ones aren't useful to you.

What do I have to do each week?

About two minutes. Photograph invoices as deliveries arrive (seconds each), send a sales report when convenient, and glance at the weekly digest. Occasionally a few one-tap confirm questions — that's all.

    What does it cost?

If you process with Simple Processing Systems, My Silent Partner is included for your store — it's part of how we take care of our merchants. (A standalone subscription for non-merchants is planned for later.)

Can I get my data back or leave?

Any time. Your data is yours: export everything, or ask for it to be deleted entirely. No lock-in games — the product has to earn its place every month.
